TERMS OF SERVICE
These terms outline the working relationship between Northform Studio and its clients. They are intended to ensure clarity, consistency, and a smooth production process on all projects.
1. Scope of Work
All work is carried out based on an agreed brief, outlining the required deliverables, formats, and timelines.
Any changes or additions to the original scope may require a revised agreement before work proceeds.
2. Day Rate
Work is undertaken on a day rate basis.
The applicable day rate will be agreed in advance of any work commencing.
Time is allocated based on the scope and requirements of each project.
3. Project Commencement
Work will begin once the project scope, schedule, and day rate have been confirmed.
Clients are responsible for supplying all necessary assets, source files, and brand guidelines required to complete the work accurately.
Delays in receiving required materials may affect agreed timelines.
4. Revisions and Amendments
Reasonable revisions are accommodated within the agreed scope of work.
Substantial changes, additional versions, or new requirements introduced after commencement may be treated as additional work and scheduled accordingly.
5. File Preparation and Delivery
All files are prepared to meet agreed specifications for print or digital output.
Final deliverables are supplied in appropriate formats (e.g. press-ready PDFs or optimised digital assets), unless otherwise specified.
It is the client’s responsibility to review and approve final files prior to release for print or publication.
6. Accuracy and Approval
Northform Studio applies a structured quality control process to ensure accuracy and consistency.
However, final approval of all content, including copy, imagery, and layout, remains the responsibility of the client.
Once approved, files are considered complete.
7. Turnaround and Scheduling
Project timelines are agreed in advance based on current availability and scope.
While every effort is made to meet agreed deadlines, timelines are dependent on timely client feedback, approvals, and provision of assets.
8. Communication
Clear and timely communication is essential to maintaining efficient workflow.
Clients are encouraged to provide consolidated feedback where possible to avoid delays or duplication of effort.
9. Intellectual Property
All supplied materials (including logos, imagery, and brand assets) remain the property of the client or their respective owners.
Upon completion of the project, final approved deliverables are provided for the client’s intended use.
Working files and production setups may be retained by Northform Studio unless otherwise agreed.
10. Limitation of Responsibility
Northform Studio is not responsible for errors introduced after final approval, including changes made by third parties or during the print or publication process.
Where possible, guidance may be provided to support correct output, but final responsibility for production lies with the client and their chosen suppliers.
11. Acceptance of Terms
Commencement of work constitutes acceptance of these terms.
12. Confidentiality and Privacy
All client materials, project details, and communications are treated as confidential.
Information provided during the course of a project will only be used for the purpose of delivering the agreed work and will not be shared with third parties without prior consent, unless required for production (for example, working with printers or approved suppliers).
Northform Studio does not retain or use client data beyond what is necessary to complete the project and maintain appropriate records.
Where requested, specific confidentiality requirements or non-disclosure agreements can be accommodated.
13. Conflict of Interest
Northform Studio works with a range of marketing teams and creative agencies across different sectors.
All projects are handled independently and with appropriate discretion. Client information, assets, and project details are not shared between parties.
If a potential conflict of interest arises — for example, working on similar projects within the same sector — this will be communicated where appropriate, and steps will be taken to ensure confidentiality and impartiality are maintained.
Northform Studio reserves the right to decline or withdraw from work where a conflict of interest cannot be managed appropriately.
14. Data Protection (UK GDPR)
Northform Studio processes personal data in accordance with applicable UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Any personal information provided (such as contact details and project-related communications) is used solely for the purpose of managing enquiries, delivering services, and maintaining appropriate business records.
Personal data is not shared with third parties except where necessary to support project delivery (for example, approved production suppliers), and only where appropriate safeguards are in place.
Reasonable measures are taken to ensure that personal data is stored securely and retained only for as long as necessary.
Clients may request access to, correction of, or deletion of their personal data at any time by making direct contact.
